Conversion rate optimization services: find where your leads leak, then fix it

Our conversion rate optimization services start with a funnel audit that maps every step from first click to purchase and measures how many people drop out at each one. We review landing pages, forms, CRM routing, follow-up email and automation, then rank every fix by its revenue impact and build the ones that pay.

What is a marketing funnel?

A marketing funnel is the path a person takes from first hearing about you to paying you, drawn as stages that get narrower because some people drop out at each one. Thousands see an ad, hundreds visit the page, dozens fill in the form, a handful book a call, and fewer still buy. The shape is normal. The question is whether each stage loses more people than it should.

Thinking in stages turns a vague problem ("marketing is not working") into a specific one ("half the people who book a call never show up"). Specific problems have specific fixes, and that is where the revenue is.

The stages

Six sales funnel stages, and the one number to watch at each

  1. Attention Ad, email or search

Watch the click-through rate: is the promise interesting?

  2. Visit Landing page

Watch the share who start the form or scroll to the offer.

  3. Lead Form or sign-up

Watch visit to lead conversion and form drop-off.

  4. Follow-up First reply

Watch time to first response, in minutes.

  5. Meeting Call booked and held

Watch the show-up rate on booked calls.

  6. Sale Purchase

Watch close rate and revenue per lead.

What are the sales funnel stages, and what should you measure?

The sales funnel stages above apply to most businesses that sell services or high-value products online. Ecommerce funnels are shorter, with product page, cart and checkout in place of the call, but the method is the same: one number per stage, compared with the stage before it.

How do you find the leak in a sales funnel?

You find the leak by measuring one number per stage and comparing each stage with the one before it. The stage with the steepest drop relative to what is normal for your model is where the money is.

  1. Map the stages exactly as a lead experiences them: ad or email, landing page, form, thank-you page, first follow-up, call booked, call held, sale.
  2. Pull 90 days of numbers for each stage from analytics and the CRM.
  3. Compute stage-to-stage conversion and mark every stage that falls well below the others.
  4. Walk the funnel as a buyer on mobile and desktop, recording every point of friction.
  5. Rank fixes by revenue impact: the lift if that stage improved, times the value of a sale.

What do our conversion rate optimization services include?

They include the audit, the fixes and the measurement afterward, so the work ends with a number that moved rather than a slide deck. Depending on the package, that means the written leak report, rebuilt landing pages and forms, rewritten follow-up and nurture email, CRM routing and alerts, booking reminders, and a before and after comparison of every stage we touched. Prices are fixed and listed below.

What should happen in the first five minutes after a lead comes in?

In the first five minutes a new lead should get an automatic reply, be routed to an owner, and that owner should be alerted. Response speed is one of the most studied factors in lead conversion: an often-cited Harvard Business Review analysis found firms that responded within an hour were far more likely to qualify a lead than those that waited longer. We check this on every audit by submitting a test lead and timing what happens.

How does landing page optimization lift conversions?

Landing page optimization lifts conversions by making the page keep the promise that brought the visitor there, then removing everything that slows the next step. Most pages lose people for one of three reasons: the headline does not match the ad, the offer is unclear in the first screen, or the form asks for too much before the visitor trusts you.

At Austere, landing page headlines that changed to match each search keyword, combined with continuous testing on paid traffic, raised lead conversion by 380% against the pre-test baseline and cut the bounce rate by 28%. The pages did not get prettier. They got more relevant.

Which landing page best practices matter most?

The landing page best practices that matter most are the ones a visitor notices in the first few seconds. We check these on every page we audit:

  • Message match. The headline repeats the promise from the ad or email, in the same words.
  • One page, one goal. A single call to action, repeated, with no navigation leading away.
  • Proof near the ask. A result, a review or a client name right next to the button, not at the bottom.
  • Short forms first. Name and email to start; qualifying questions after the first step or on the call.
  • Fast on a phone. Tested on a real mobile connection, because that is where most paid traffic arrives.
  • A useful thank-you page. A calendar, a next step or a short video, never a dead end.

Which leaks do we find most often?

The leaks we find most often are small, cheap to fix and invisible from inside the business. These six come up again and again:

  • Forms that ask too much too early. Phone number, budget and company size on the first step, before the visitor trusts you.
  • A thank-you page that is a dead end. No next step, no calendar, no reason to stay engaged at the moment interest is highest.
  • Leads routed to a shared inbox. Everyone sees them, so nobody owns them, and the first reply comes a day later.
  • No reminders before booked calls. No-shows are treated as bad luck instead of a missing email and text.
  • No nurture for people who do not book. Most leads are not ready on day one, and without a sequence they are simply forgotten.
  • A broken mobile experience. Pages and forms tested only on a desktop screen, while most paid traffic arrives on a phone.

What does a conversion rate optimization consultant do?

A conversion rate optimization consultant finds out why people who could buy do not, and changes the experience so more of them do. The job is part analyst, part detective and part editor: read the numbers, watch how real visitors behave, form a clear guess about the cause, change one thing, and measure the result.

What separates useful CRO work from busywork is scope. A consultant who only looks at the landing page will miss that leads wait two days for a reply, or that half of booked calls never happen. We look at the whole path, including the CRM and the follow-up, because that is usually where the biggest and cheapest wins are.

What does a funnel audit report contain?

The leak report is a written document with a stage-by-stage table of your numbers, screenshots of every friction point, and a ranked list of fixes. Each fix says what to change, who should change it and the expected effect, so your team can act on it even if you never hire us for the build. We walk you through it on a 30 minute call and answer every question about it in writing afterward. Most teams can start on the top fix the same week.

What automation do you build?

The automation we build covers lead routing, instant replies, owner alerts, nurture sequences for leads who do not book, reminders that cut no-shows, and CRM stages that update themselves. At Dimov Associates, a law firm, this system tripled lead volume and cut cost per acquisition by 40% within 90 days.

Common questions

Which platforms can you audit?

GoHighLevel, HubSpot, ClickFunnels, Klaviyo, ActiveCampaign, WordPress and most landing page builders, plus the CRM behind them.

What do you need to start?

Access to your funnel pages, CRM and email tool, read access to analytics, and your current numbers: traffic, leads, booked calls and sales for the last 90 days.

Do you also run the ads?

Ads are a separate service, our paid advertising work. The audit itself looks at what happens after the click: pages, forms, follow-up, routing and nurture. If your ads bring traffic that does not convert, that is exactly where we look.

What if the audit finds nothing big?

Then you know your funnel is not the problem, and the report says where to look instead, usually offer, traffic quality or sales follow-up.

Do I need a lot of traffic for this to work?

No. A/B testing needs high traffic to give a reliable answer, but most of the leaks we fix are plain mistakes: slow pages, long forms, missing follow-up. Fixing those does not need a test, just a before and after measurement.
